The 6 pillars of KiboERP Projects
The KiboERP Projects module is built for teams that want to deliver on time and on budget, without switching between tools. Here are the six core capabilities.
1. Tasks and sprints
Create simple tasks or organise work into sprints for agile teams. Each task carries a priority (critical, high, normal, low), start date, deadline, primary assignee and co-assignees. Sub-tasks let you break complex deliverables into trackable actions.
- Sprints with start/end dates and sprint goal
- Task dependencies (blocking / blocked by)
- 4-level priorities with visual indicator
- Automatic alerts on overdue deadlines
- Nested sub-tasks with calculated progress
2. Kanban, list and calendar views
Switch views in one click to match your working style. Kanban shows draggable cards by status; list view offers multi-criteria sorting; calendar view positions each task on its deadline.
3. Milestones and dependencies
Milestones structure the project into key phases. Each milestone aggregates the progress of its tasks and shows a completion percentage. Finish-to-start dependencies prevent a task from starting before its prerequisite is validated.
4. Visualised workload
The Workload view shows each team member's active task count and estimated hours over a given period. It helps managers rebalance assignments before overload blocks delivery.
5. Project templates
Build a project once, save it as a template. Next time, duplicate it in 30 seconds with all tasks, milestones and workflows pre-configured. KiboERP ships ready-to-use templates for product launches, software development, client audits and construction projects.
6. Project budget linked to accounting
Each project has a planned budget. Purchases and expenses allocated to the project are pulled automatically from the Accounting module. Actual vs planned is updated in real time — no double entry, no manual reconciliation.
Tasks and sprints — the engine of your productivity
Task management in KiboERP goes far beyond a to-do list. Each task is a rich object that centralises everything needed to get the work done.
Sub-tasks and hierarchy
A task can contain multiple levels of sub-tasks. A parent task's progress is automatically calculated from the completion of its children. This hierarchy lets you plan complex deliverables without losing the big picture.
Priorities and deadlines
Every task carries a visual priority (red critical, orange high, blue normal, grey low). Overdue deadlines trigger an alert in the assignee's dashboard and a notification reminder. Managers receive a daily digest of late tasks across their projects.
Dependencies and automations
Define finish-to-start relationships between tasks to model your real workflow. When task A is marked done, task B automatically moves to "To Do" and notifies its assignee. These micro-automations eliminate manual hand-offs between team members.
Kanban, list, calendar, timeline — work your way
There is no one-size-fits-all view. KiboERP offers four complementary views to suit every working style.
Kanban view
The Kanban view displays tasks as draggable cards in columns. Default columns are To Do, In Progress, In Review, Done — but each project can define its own business statuses (Quote Sent, Client Approval, Delivered…). Cards show the assignee avatar, priority, deadline and unread comment count.
List view
List view enables multi-criteria sorting (priority, deadline, assignee, sprint, milestone) and advanced filtering. It is ideal for sprint reviews and exporting to progress reports.
Calendar view
Calendar view places each task on its due date. It reveals workload peaks and competing deadlines at a glance. Click any task to edit it without leaving the calendar.
Timeline view (Gantt-like)
The timeline displays tasks and milestones on a time axis with dependencies shown as arrows. Perfect for kick-off meetings and client presentations — exportable as an image.
Real-time collaboration
Project management software only works if the team lives in it. KiboERP embeds collaboration tools directly inside each task.
Comments and mentions
Each task has a threaded comment feed. Mention a colleague with @name to send an instant notification. Decisions and approvals are logged in the task history — no more digging through email threads.
Attachments and DMS
Attach files, mockups or contracts directly to a task. These attachments are stored in KiboERP's Document Management module, versioned and indexed. Access them from the task, the central DMS or global search.
Real-time notifications
In-app and email notifications cover: new assignment, comment on a watched task, approaching deadline (D-3), unblocked task (dependency cleared), project budget overrun. Each user configures their own notification preferences.
Reporting and budget tracking
Delivering on time is not enough if the project blows its budget. KiboERP connects project management and accounting to give you a complete financial view.
Progress reports
- Burndown chart: remaining work vs ideal trend for the current sprint
- Team velocity: story points delivered per sprint over the last 6 sprints
- Milestone completion rate: aggregated progress across all tasks in a milestone
- Per-contributor report: tasks completed, overdue, due this week
Project budget vs actual
Set a planned budget per project (optionally per phase or milestone). Expenses entered in the Accounting module and allocated to this project update the project's financial dashboard in real time. Project managers see budget consumption without full access to accounting journals.
Timesheet integration
If your organisation uses timesheets from the HR module, time logged per contributor per task is automatically aggregated in the project report. Hourly rate × hours logged = actual labour cost vs planned.
Use cases by industry
Digital agency
Manage 20 client projects simultaneously with independent timelines. Reusable templates for client onboarding, website redesign, social media campaigns. Reports delivered automatically every Friday.
Construction and BTP
Plan construction phases (design, structural, fit-out, handover) with milestones and dependencies. Project budget linked to material purchases. Integration with the BTP ERP module for field team management.
Consulting firm
Structure engagements into billable phases. The integrated timesheet feeds client invoicing directly. Milestones = contractual deliverables with required client sign-off before moving to the next phase.
Product team
Prioritised backlog, bi-weekly sprints, burndown, velocity. Bugs escalated from the CRM (client feedback) can be converted to project tasks in one click.
R&D and innovation
Multi-year projects with quarterly milestones. R&D budget tracked in real time against approved envelopes. Progress reports for board committees.
Comparison: KiboERP Projects vs Asana, Trello, Monday, Jira, ClickUp
Dedicated project management tools are excellent — but they don't talk to your accounting, HR or CRM. Here is a factual comparison.
The fundamental difference: KiboERP Projects is a module inside an ERP, not a standalone tool. Your project data talks natively to accounting, HR, CRM and document management. No integration to maintain, no double entry.
SaaS or On-premise — which to choose?
KiboERP SaaS
The SaaS version hosted by KiboERP is available immediately. The Starter plan is free forever for small teams. Paid plans (Essentiel, Business, Enterprise) unlock advanced workload management, project budgets, custom reports and full ERP integrations. See pricing for details.
KiboERP On-premise
For IT service firms, audit consultancies, government agencies and organisations with data sovereignty constraints, KiboERP installs on your own infrastructure (Linux server, local network, VPN). The Projects module is identical to the SaaS version. Contact us via this form for a quote.
Frequently asked questions
Can KiboERP replace Asana or Monday for a small business?
Yes. KiboERP covers the essential features of Asana and Monday (tasks, Kanban/list/calendar views, milestones, comments, multi-assignees) while adding native integration with accounting, document management and HR. No more juggling between multiple subscriptions.
How does the Kanban board work in KiboERP?
The Kanban view displays tasks as draggable cards organised into columns (To Do, In Progress, In Review, Done). Each card shows the assignee avatar, priority, deadline and sub-task count. Columns are fully customisable per project.
Can we manage multiple projects simultaneously?
Yes, with no limit on the number of active projects (subject to your plan). The centralised dashboard shows each team member's workload across all active projects, helping managers prevent bottlenecks before they happen.
Is the Projects module connected to accounting?
Yes. Each project can have a planned budget. Expenses and purchases allocated to the project are pulled automatically from the Accounting module, giving you a real-time actual-vs-planned view with zero double entry.
Can KiboERP Projects be deployed on-premise?
Yes. KiboERP On-premise installs on your server or local network. The Projects module is identical to the SaaS version. Ideal for IT firms, consulting agencies and organisations with data sovereignty requirements.
Are there ready-made project templates?
Yes. KiboERP ships templates for common use cases (product launch, software development, construction project, client audit) that you can duplicate and customise. You can also save any existing project as a template.
How are files managed inside a project?
Attachments to tasks and comments are stored in KiboERP's Document Management (DMS) module. Every file is versioned and searchable from the task, the central DMS or global search. No external storage needed.
Is KiboERP Projects available on mobile?
KiboERP is a responsive web application that works on smartphones and tablets through the browser. A native mobile app is on the roadmap.
